IMPORTANT NOTE: Many conferences are currently being targeted by scams. Please note that Confedent International is the only official congress office and hotel booking agency for EuroEvoDevo 2024, and together with the official organizers, the University of Helsinki and the EED Society, the only office sending e-mails to speakers and participants of EuroEvoDevo 2024. The emails come from euroevodevo2024@confedent.fi, euro-evo-devo-2024@helsinki.fi and eed.soc@gmail.com.

Registration fees:

• Student* 350 € (deadline for registration was 30 May, 2024; early fee until 28.2 was 250€)
• Delegate 480 € (deadline for registration was 30 May, 2024; early fee until 28.2 was 380€)
• Dinner fee 80€
• Conference party fee 0€ (for all registered participants)
• Satellite fees (40€ - 50€, depending on lunches & coffees included)

*Student registration fee is applied to undergraduate, graduate, and doctoral students.

Payment of registration fees

• Invoice payment:
  • Invoicing fee EUR 18 will be added to all invoices. Note that an additional fee of EUR 18 will be charged for any changes to a sent invoice (e.g. invalid invoicing address or additional data not given during registration).
  • The invoice reference number must show as identification on bank transactions. The invoice will include all necessary international bank information for the bank transfer. All bank charges should be covered by the payer.
  • Registration and other reservations will be confirmed only once a full payment has been received.
• Credit card payment:
  • The following credit card are accepted: Visa, MasterCard and Maestro.
  • Credit card payments are processed via an SSL secured credit card payment link at the end of the on-line registration form.

Cancellation and refund policy

All cancellations must be made in writing to euroevodevo2024@confedent.fi

For registration, 100% of the conference fee (including the conference dinner) will be refunded until April 22, 2024. A 50% refund of the conference fee (excluding the conference dinner) will be given until one month before the start of the conference (May 24, 2024).

Registration can be transferred to another person at no additional charge, but note that changes on the badge and abstract book may not be possible if requested close to the conference.

For accommodation (cancellation or early departure), a fee of EUR 50 will be applied to all cancellations made by April 22, 2024. No refunds will be made for cancellations made after April 22, 2024.

100% payment to be made if fees not paid at the time of cancellation. No-show is not considered a cancellation. Denial of a visa application to Finland does not entitle to any refunds.

The conference organisers cannot accept liability for personal injuries sustained, for loss of, or damage to property belonging to participants (or their accompanying persons), either during or as a result of the conference. The registration fees do not include insurance of any kind so please check the validity and coverage of your own travel insurance.

The organisers do not take responsibility for force majeure reasons for cancellation of the event (natural disaster, outbreak of severe contagious epidemic, major strikes etc.). In such case, the organising committee will decide upon refunding of paid fees.

Childcare

We will provide free childcare during all days of EED 2024 (ncluding the satellite sessions) to everybody who marked interest during the registration. Please contact us for more information (euro-evo-devo-2024@helsinki.fi.) Childcare will be provided by MLL, the Mannerheim League for Child Welfare (Mannerheimin Lastensuojeluliitto; http://uudenmaanpiiri.mll.fi), a well-respected non-governmental organization that promotes the well-being of children, young people and families with children.

Accommodation

The conference organiser has booked room quotas for the conference participants in the following hotels. The below mentioned prices are only valid for reservations made via the registration form. Early reservation of accommodation is recommended.

To guarantee your hotel reservation, a deposit of one night's room rate is required. The deposit will be deducted from the total accommodation cost, that is to be settled at the hotel upon departure.

The hotel room rates include VAT and breakfast. Rooms are reserved on a first come - first served basis. For late bookings, availability can’t be guaranteed.

Please note that the congress rate is not necessarily the lowest rate. Congress bookings are made to guarantee a room block, so if the city is full, attendees will still have a guaranteed room block for a certain fee. The person looking for the cheapest option can of course book through our pages or whatever booking channel they prefer.

Please note that abstract submission is now closed! We received over 500 abstract submissions. Thank you for the enthusiastic response to the call and please check this page for updates.

Accepted contributions will be presented either as oral or poster presentations, according to the final decision by the Scientific Committee. Please note that due to program constraints, we may not be able to accommodate all oral presentation requests. However, every submission that passes an initial quality check will be at least offered a poster presentation.  Acceptance of the abstract is subject to acceptance by the Scientific Committee and the Committee has all rights to accept or reject the abstract. The acceptance letters will be sent in late April / early May (subject to changes). If you need a confirmation (e.g. for a travel grant) that your abstract has passed the initial quality check (and therefore will be offered at least a poster presentation), please contact euro-evo-devo-2024@helsinki.fi.

All accepted abstracts will be published at the conference, subject to the author registering as a paid delegate. The accepted abstracts will be published as typed by the author, including any errors in grammar, spelling or scientific facts.
