Information to data subjects about the processing of personal data at SLU in the LIFEPLAN mobile application

The Swedish University of Agricultural Sciences (SLU) provides the Lifeplan mobile app and Lifeplan web portal.

This SERVICE is provided by the Swedish University of Agricultural Sciences (SLU) at no cost and is intended for use as is.

This page is to inform visitors regarding our policies with the collection, use, and disclosure of Personal Information of anyone deciding to use our Service.

Data controller

The Swedish University of Agricultural Sciences (SLU) is the data controller for the processing of your personal data. Your contact for this processing is Anna Jarmar.

What information we collect

To use the Service, you need to be a pre-approved Lifeplan collaborator and have a user account provided for you by Lifeplan. In creating the user account, we have included your Name, Email address and Phone number as you have provided them to us when signing up for Lifeplan. This personal information is stored by us and connected to the sample logging data you collect through the Service.

When you use the app for Lifeplan sample logging, we will also record your phone’s Location information at the moment of sample logging.

In a case of an error in the app, we collect data and information called Log Data through Crashlytics (a service provided by Google). This Log Data may include information such as your device Internet Protocol (“IP”) address, device name, operating system version, the configuration of the app when utilizing our Service, the time and date of your use of the Service, information about your interaction with the Service, and other statistics. This Log Data is shared with Crashlytics and will be transferred to, stored and processed in the United States and other countries where the Google services operate.

Purpose

The purpose of storing and processing your Name, Email Address and Phone number is to identify and credit the person who collected the scientific data, and correct mistakes.

The purpose of storing and processing your Log Data is to learn what may be causing the mobile application to crash, so that we can fix problems and improve functioning.

Legal basis

The legal basis for the processing of your personal data is the fulfilment of the Collaboration Agreement your Team has with Lifeplan, as well as the fulfilment of a task in the public interest (research).

How we process and display your personal data

At any time, you can choose in the web portal whether to make your Email address and Phone number visible to other members of your Team. Your user account is associated with a Team, comprising multiple users, responsible for one or two Lifeplan Sites.

Your sample loggings and your personal data associated with them will be stored on servers at the IT Centre for Science (csc.fi) in Finland, and visible to Project Lifeplan researchers. Access to the full database is controlled though password protected, individual CSC accounts administered by the Lifeplan coordinator and lead researcher. Any sample logging data that is published or disseminated outside Lifeplan will be stripped of personal data except for the associated Location information.

We will store your personal information until the results publication process is complete. Until it is complete, we may need to contact you about your observations to check for errors. This could take several years after sampling ends in 2026.

The principle of public access to information

As a public authority, SLU must apply the principle of public access to official documents. This means that all official documents, including personal data, that are not considered working material are public and can be released to anyone who requests them. However, if a document contains data that is subject to confidentiality, the document will not be released. Your personal data will be considered working material as long as the sampling and publication process is ongoing.

International transfer of personal data

Lifeplan is a collaboration between SLU, University of Helsinki in Finland and Duke University in the United States of America. Individual Lifeplan researchers at these universities will have access to your contact information only if they are tasked with data error checking and attribution. These coordination activities are limited to SLU and University of Helsinki for now.

The Log Data collected from your phone by the Lifeplan mobile application is shared with Crashlytics and will be transferred to, stored and processed in the USA and other countries where the Google services operate.

Any sample logging data that is published or disseminated outside Lifeplan will be stripped of personal data except for the associated Location information.

Updating your personal data

You can edit your user profile information to update your personal data in the web portal.

Requesting your personal data

To request a copy of the contributions you have made through the Service and the personal data stored about you, please email lifeplan@helsinki.fi. You will receive a copy of your data in a CSV format. You can also view all your own contributions and your current personal information yourself in the Lifeplan web portal.

We cannot provide you with a copy of the Log Data collected by Crashlytics, as the Log Data is not personally identifiable and we cannot trace which are your data.

Deleting your personal data aka “Right to be forgotten”

To request deletion of your personal data, email lifeplan@helsinki.fi from the email address associated with your user account. Note that without your personal data, which comprises your contact information, it will be impossible to include you as a co-author in publications arising from your contributions.

When requested to delete your personal data, we will confirm with you that you really wish us to delete your personal data. Upon receiving confirmation, we will completely erase your personal data and anonymize your contributions to the project within two weeks. Due to backup systems, it may take up to six months for your personal data to fully disappear from our databases. We will keep the sample logs you have contributed, along with the Location data collected with them, but they will no longer be connected to your Name, Email address or Phone number.

We cannot delete your Log Data collected by Crashlytics, as the Log Data is not personally identifiable and we cannot trace which are your data. Log Data are retained by Crashlytics for 90 days and then discarded.

Changes to This Privacy Policy

We may update our Privacy Policy from time to time. Thus, you are advised to review this page periodically for any changes. We will notify you of any changes by posting the new Privacy Policy on this page.
