Info for the conference speakers

We’re looking forward to having you all with us in Helsinki in October! Here you can find information on the 1.-2.10. conference days.
Venue

Getting to the venue

The venue, Epicenter (Mikonkatu 9), is located in the heart of the city, right next to the Central Railway Station, with excellent public transport connections.

Accessibility

The venue is generally accessible, except for the basement level. Cloakroom services are available on the second floor, where accessible restrooms are also located. A ramp to the stage can be provided upon request.

You can view the venue's emergency plan here.

Transportation

If possible, we recommend sustainable mobility when travelling to the venue!

Public transportation runs smoothly in the Helsinki metropolitan region and is the most convenient way to move about in Helsinki, and for getting to Espoo from the direction of Helsinki city centre.

We recommend downloading the HSL app for your phone to digitally buy transportation tickets within the Helsinki metropolitan region. The app is available for free in most app stores.

HSL’s route advisor is your best friend in any situation where you need to know how to get from point A to point B! This service is also in the HSL app.

Parking

Parking options close to the venue include paid facilities such as Kluuvi Parking Hall (Fabianinkatu 27).

Coffee breaks and lunch

Lunch and coffee breaks are included in the conference and will be served on-site at the venue. All food is vegan.

Materials and assistance

We will have further detailed information on SFS’s website later on how and when to deliver your materials for the conference. We do ask you to refrain from using copyrighted materials and to deliver your materials in time before your session for the smoothest experience for both you, the conference staff and the visitors.

To make things easy for you during your session, we will have an assistant in each room. Our staff and student assistants will be supporting you throughout the conference at the venue.

Sustainability

Sustainability is a core tenet of both Aalto’s and University of Helsinki’s strategies guiding our event planning and actions at the universities.

Our catering options are all vegan, and there is always a vegan option available in the restaurants we guide our participants to. We also attempt to follow the carbon footprint of the catering. Tap water is drinkable in Finland, and we encourage participants to have their own reusable water bottle with them to reduce plastic waste.

In procurement and conference materials, we aim to use sustainable materials, avoid unnecessary waste and to reuse and recycle as much as we can.

We urge our guests to utilise public transportation or ride-sharing when possible to reduce their carbon footprint. During the warmer months, the Helsinki metropolitan region has a good network of city bikes available to use for flexible transportation in addition to the transportation network. More info on transit in the Helsinki metropolitan region please visit HSL’s website.

Events at both Aalto University and University of Helsinki are inclusive, non-discriminatory and follow the principles of a safer space:

Treat everyone equally: This event is a space where discrimination, sexism and racism are not tolerated.

Be respectful: We respect each other through actions and language. Harassment of any kind is not tolerated.

Give space: We give space to each other by listening and inviting all to contribute.

Be open-minded: We do not make assumptions about anyone’s gender, background, sexual orientation, ethnicity or family. Everyone is entitled to define their own experiences.

Speak up: If you notice someone disrespecting these principles of a safe space, speak up or contact the organizers.

Mistakes are ok: We all make mistakes and that is understandable. However, if someone gives us feedback on our behavior or words, we take responsibility and apologize.
