Registration fees

*Students are required to show documents confirming the student status on site.

The registration fee includes participation in the scientific program, the lunches (Mon-Thu), coffee/tea breaks (Mon-Fri), a welcome reception, a city reception, an outing, and the conference dinner. Registration fee of an accompanying person includes a welcome reception, a city reception, an outing and the conference dinner.

Social Programme
Social programme is complimentary for all registered participants, but registration is still needed via the registration form. Registered delegates will receive a separate registration link to their email addresses for the Helsinki City Reception approximately one month before the conference.

Accompanying person registration includes tickets to welcome reception (Sunday), conference outing and dinner automatically, if you wish to add or remove other tickets to accompanying person registration, please email us  after completing the initial registration.

Payment of registration fees

• Invoice payment:
  • Invoicing fee EUR 19 will be added to all invoices. Note that an additional fee of EUR 19 will be charged for any changes made to a sent invoice (e.g. invalid invoicing address or additional data not given during registration).
  • The invoice reference number must show as identification on bank transactions. The invoice will include all necessary international bank information for the bank transfer. All bank charges should be covered by the payer.
  • Registration and other reservations will be confirmed only once a full payment has been received.
• Online payment:
  • The following payment methods are accepted: Credit cards Visa and MasterCard (no prepaid cards) and Google Pay.
  • Connection is secure between the registration system and the payment service provider during the online payments.

Cancellation and refund policy

All requests for cancellations must be submitted in writing by email to the conference office .

Cancellation terms for registration

• cancellations made by or on April 30, 2026, full refund (50 eur handling fee will be deducted).
• cancellations made during May 1 – June 11, 2026, refund of 50% of the fee.
• cancellations made after June 12, 2026, no refunds will be made.

Cancellation terms for accommodation

The conference organizers are unable to assume responsibility for any personal injuries sustained, or for the loss of, or damage to, property belonging to participants or their accompanying guests, whether occurring during the Conference or as a result of attendance. Please note that registration fees do not include any form of insurance coverage. We strongly recommend that all attendees review the terms and coverage of their personal travel insurance to ensure it is valid and adequate for their needs during the event.

Refunds will not be issued in the event of non-attendance. If a participant’s visa application to Finland is denied, this does not qualify for a refund under any circumstances.

The organizers are not liable for event cancellations resulting from force majeure circumstances, such as natural disasters, outbreaks of severe contagious epidemics, major strikes, or similar unforeseen events. In such situations, the organizing committee reserves the exclusive right to determine the policy regarding refunds of registration fees that have already been paid.
