Registration

To register for the Symposium and to make an accommodation reservation, please complete the on-line registration form HERE. 

Kindly first read the instructions and conditions given below.

Reservations will be handled on a “first come – first served” basis. Each form is to be filled in individually by only one participant. If you have problems with completing the on-line form, please contact the local symposium secretariat at Confedent International:

Registration fees

• Delegate on site, early bird registration (valid from 7th June until 15th August 2022): 300€
• Delegate on site, late registration (valid from 16th August until 26th August 2022): 400€
• Delegate virtual, early bird registration (valid from 7th June until 15th August 2022): 150€
• Delegate virtual, late registration (valid from 16th August until 5th September 2022): 200€
• Trainee on site (student, postdoctoral researcher, limited quota available at this rate, valid from 7th June until the quota is filled): free
• Trainee virtual (student, postdoctoral researcher, limited quota available at this rate, valid from 7th June until the quota is filled): free
• Trainee on site (student, postdoctoral researcher, valid after limited free quota has been filled until 26th August 2022): 100€
• Trainee virtual (student, postdoctoral researcher, valid after free limited quota has been filled until 5th September 2022): 50€
• Students in the University of Helsinki Integrative Life Science doctoral programme (limited quota): free

Payment of registration fees

• Invoice payment:
  • Invoicing fee EUR 18 will be added to all invoices. Note that an additional fee of EUR 18 will be charged for any changes to a sent invoice (e.g. invalid invoicing address or additional data not given during registration).
  • The invoice reference number must show as identification on bank transactions. The invoice will include all necessary international bank information for the bank transfer. All bank charges should be covered by the payer.
  • Registration and other reservations will be confirmed only once a full payment has been received.
• Credit card payment:
  • The following credit card are accepted: Visa, MasterCard and Maestro.
  • Credit card payments are processed via an SSL secured credit card payment link at the end of the on-line registration form.
  • Registration and other reservations will be confirmed only once a full payment has been received.

Cancellation of registration and accommodation or changes in accommodation bookings (early departure or late arrival)

All cancellations must be made in writing to FPMBCW2022@confedent.fi

- Cancellations received prior to or on August 5, 2022: Full refund (less EUR 50 administration fee).

- Cancellation received after August 5, 2022: No refunds (100 % payment to be made if fees not already paid at time of cancellation, no-show is not considered a cancellation)

There will be no refund for no-shows. Denial of a visa application to Finland does not entitle a participant to any refunds.

Changing registration from on-site to virtual or vice versa

Registration type may be changed from on-site registration to virtual registration until August 1, 2022.
A handling fee of EUR 15 will be deducted from the refund. 
If registration type is changed from virtual registration to on-site registration, difference will be charged accordingly. 
Registration type may be changed from virtual registration to on-site registration until August 1, 2022 free of handling fee charges. Possible payment method fee will be charged normally (invoicing fee EUR 18 will be added to all invoices, credit card payment has no payment method charge). 
After August 1, 2022 there are no refunds if changing registration type.

Insurance

The Symposium Organizers cannot accept liability for personal injuries sustained, for loss of, or damage to property belonging to Symposium participants (or their accompanying persons), either during or as a result of the Symposium.
Please check the validity of your own travel insurance.

The organisers do not take responsibility for force majeure reasons for cancellation of the event (natural disaster, outbreak of severe contagious epidemic, major strikes etc.). In such case, the organising committee will decide upon refunding of paid fees.

Accommodation

The Symposium Organisers have booked a room quota for the participants. When reservation is done via the registration form the below mentioned prices are valid. Also the availability can be guaranteed for early bookings. Delegates are free to make their own accommodation arrangements but availability or prices cannot be guaranteed and is at delegate’s own risk.

Early reservation of accommodation is recommended.

Accommodation payment

A hotel deposit of one night must be paid in advance together with the registration fees. The hotel deposit will be deducted from the total cost of accommodation. The remaining hotel payment will be charged at the hotel upon check-out. Reservations without full deposit payment cannot be accepted. The hotel has the right to charge all booked nights in case of late cancellation or early departure.

If you are paying the fees against invoice, kindly note that your reservation is guaranteed only after we have received the payment. If you require accommodation outside the given dates, please contact the local secretariat at FPMBCW2022@confedent.fi

All room rates include breakfast and VAT.

The hotel is located in a beautiful former warehouse from the early 1900s and features spacious rooms and a peaceful atmosphere. Large arched windows and high ceilings create a light and airy atmosphere in the lobby, restaurant, and bar. In the summer, guests can also enjoy our large terrace. There is plenty of parking space just outside the hotel and in the garage. The hotel offers internet access, a gym, a sauna, and a 24-hour shop. You can borrow bicycles or Nordic walking poles from the reception. FPMBCW 2022 Symposium venue is located across the street.
