Request material or make a storage retrieval request

You can make a reservation for material using the Helka database. All library material can be reserved in the same way whether they are on loan, in a closed collection or on the library shelf. Textbooks can only be reserved when all copies are on loan.

Reserving items is free of charge, but a fee will be charged for any uncollected reservations. If you do not need the item you requested, please cancel the reservation in your customer data in Helka.

Search the item you want to reserve and log in to the Helka database

  • University of Helsinki students and staff with their university credentials
  • other customers by email. Helka will send a login link to the email address in your customer information.

Select the pick-up location from where you want to collect your reservation. You will find the options in Helka.

  • If all copies are on loan, you can select any university library location for pick-up.
  • If the book is on the shelf, you cannot select the library location where the book is available.
    • As an exception, special service customers and the Helsinki University staff can select also the library where the book is on the shelf.
  • Textbooks can only be reserved when all copies are on loan. Reserved textbooks must always be collected from the library site to whose collections the book belongs.

The Helsinki University staff can also order books (excluding textbooks) and journal articles to their desk (HUPS request). Please note that library has to have your current email address in Helka in order to process your reservations. If you encouter any trouble, contact the library to check the email address and staff member status.

Check your customer data in Helka to find out when you can collect your requested materials. You will also receive an email notification when the item you have reserved is ready for collection. On the notification you will find a request ID, which you will need when collecting your reservation. Your request ID can only be found on the notification, it does not appear in your customer account in Helka.

Collect your reservation as a self-service from the reservation pick-ups shelf where you will find it under your request ID. You can borrow reserved books only with the card used for the reservation.

You can make a reservation free of charge also for materials in the library’s closed stacks (e.g., theses and the student nation collection). Most materials in the closed stacks are available for home loans. However, theses as well as rare and old books and journals are not available for home loans, but can be read in the library. You can make the storage retrieval request in the same way as a regular reservation in Helka.

Search the item you want to request and log in to the Helka database

  • If the material is available for home loan, you can select any university library location for pick-up.
  • If the material is not available for home loan (eg theses, journals and rare books), it must be collected from the library site to whose collections it belongs.

You can check your customer data in Helka to find out when your requested materials are ready for collection. You will also receive an email notification when your requested item is ready for collection.

By logging in to Helka, you’ll have access to all self-service functions. You can reserve books, renew your loans and, if necessary, pay fees related to your your customer information.

University of Helsinki Staff and Students
 

  • Log in by selecting “University of Helsinki login”.
  • In your customer information you will find your loans, reservations and fees.
  • On the My Account tab, you can see your contact information and set the PIN you need to borrow books from the self check-out machines.
  • Do not update your contact information in Helka, as your address and other contact information will be automatically updated in Helka from the background systems of the university. Therefore, if your contact information changes, it is enough to notify the university's systems (eg. Oodi / Sisu).

Other Helka users (with no University of Helsinki user ID)
 

Logging in to Helka requires that you have provided the library with your email address.

  • Select “Login by Email” to log in.
  • Helka will send a link to your e-mail, which you can click to log in to Helka. The link is valid for a limited time.
  • In your customer information you will find your loans, reservations and fees.
  • On the My Account tab, you can check your contact information and set the PIN you need to borrow books from the self check-out machines. You can update the contact information from the link “Change”.

If you do not provide the library with your email address:

  • You cannot log in to your own customer information in Helka
  • You do not see due dates in your customer information and do not receive due date reminders
  • You cannot renew your loans yourself
  • You cannot make any reservations
  • You cannot pay fees online.
