How to submit attachments

Please note that it is on your responsibility to make sure that the documents arrive at the Admissions services on time. This also applies when you do not bring the attachments yourself. The application service does not personally receive documents and the admission advisors cannot decide whether individual documents can be approved for a particular purpose.

In Studyinfo service

During the application phase, attachments are primarily submitted through Studyinfo.

Bring the documents yourself

If you want to submit documents to applicant services yourself, do the following:

You can leave your attachments in the mailbox located at Unioninkatu 40 C, on the corner of Unioninkatu and Yrjö-Koskisen Katu. The mailbox is accessible at all times, but please note that attachments must be left in the mailbox before 3:00 PM to be considered received on the same day. If you submit attachments after 3:00 PM, they will be considered received on the next business day.

Do not leave documents intended for admission services with the janitor or in any mailbox other than the mailbox mentioned above. If you leave documents intended for admission services with the janitor or in any mailbox other than the mailbox mentioned above, the documents will be considered to have arrived at admission services only when the wrong recipient of the documents delivers the documents to admission services.

Attachments to be submitted during the application period

The attachments submitted during the application process must be copies of the requested documents. The copies do not need to be officially certified, as those accepted to the studies must submit officially certified attachments or original documents when accepting the study place. Attachments are primarily submitted by attaching an attachment to the Studyinfo application.

You can save the attachments when submitting the application or log in to Studyinfo later and save the attachments afterwards, by the deadline. Attachments received late will not be considered in the application.

  • Scan or make a good quality photo of the required attachments. Make sure the photos are clear.
  • Upload the attachments onto your application form as PDF-, JPG- or PNG-file.

Attachments can also be sent by post or by bringing the attachment to the mailbox yourself. Please mark the name of the application on the envelope, e.g "STEP pedagogical studies".

When submitting documents related to student admissions as attachments to your application, check that you submit all required attachments and, if necessary, translations of the attachments. Information about the required attachments can be found in the application-specific application instructions on Studyinfo.

Required attachments

Please read Studyinfo's instructions carefully on the required attachments and how to submit them. Below you will find more information about the attachments. You can find information about the required attachments in the application-specific application instructions on Studyinfo.

Degree certificate

You do not need to submit a copy or an officially certified copy of your diploma if you have completed the degree

  • At the University of Helsinki or
  • At a Finnish higher education institute in 1995 or thereafter.

Please note, however, that a copy of the diploma must be submitted if it mentions any other potentially required study module (e.g. the teacher's pedagogical studies module) or the equivalence of the subject taught.

Certificate of completion of required studies or study modules

You do not need to submit a certificate of completion of the required studies or study modules if you have completed the studies in question at the University of Helsinki and they are recorded (name, scope, date of completion and grade) in the University of Helsinki student registration system (Sisu). Please note that the required study modules must be compiled and must be marked as a whole.

In other cases, you must submit proof of completion of the required studies or modules. Please note that the mention of completion of the module may be on your diploma. In this case, you must submit a copy of the diploma to prove that you have completed the modules in question, even if you would not otherwise be required to submit a copy of your diploma.

Job certificates

A certificate of employment must always be submitted if required by the selection criteria. Please note that an employment contract or appointment order is not a certificate of employment. The certificate of employment must state the period of employment, whether the job is full-time or part-time, the content of the job or job title and date, and the issuer of the certificate.

Equivalency certificate for the teaching subject

If you apply to Subject Teacher Education Programme (STEP) or Subject Didactics Programme for the Class Teachers (in Finnish and Swedish), you must submit an equivalency certificate for the tulee toimittaa opetettavan aineen vastaavuustodistus. Vastaavuustodistus voi olla tiedekunnan tai yliopiston myöntämä erillinen dokumentti, tutkintotodistukseen kirjoitettu Equivalency Statement on your degree certificate or a part of the decision on the Recognition of the degree by the EDUFI (OPH).

Equivalency certificate or equivalency statement states, that that the studies you have completed, totaling at least 60 credits, correspond to the content of the subject taught in comprehensive and upper secondary education. Admissions Services does not determine study equivalencies. A separate equivalency certificate is subject to a fee (126 euros at the University of Helsinki). After completing your studies, an equivalency certificate is also required when applying for a teaching position.

Equivalency certificate or statement based on a foreign degree

A person applying for an equivalence certificate based on studies completed abroad should note that the processing time is several weeks (typically around three to six weeks). If you are applying for STEP studies, for example, please allow sufficient time to process your equivalence certificate application. You can apply for equivalence of the subject taught from the faculty of the University of Helsinki or the Finnish National Agency for Education at the same time as you apply for equivalence of your degree.

Those applying for a equivalency certificate based on a foreign degree must submit the following to the

  • a copy of a degree certificate or certificates;
  • a copy of a transcript of records/other possible listings of completed courses;
  • course descriptions of completed studies (the more detailed, the better) and
  • translations of the previous, if not in Finnish, English or Swedish.
Officially certified copies

A copy of a document can be officially certified as authentic in the following ways:

  • The awarding educational institution (or organisation, such as the Finnish Matriculation Examination Board or the IB organisation) certifies the copy (see below for further information)
  • The copy of the document is legalised
  •  certifies the copy

Other copies are not officially certified copies. For example, a simple photocopy or a copy certified by two people are not sufficient means of certification. Please also note that copies certified by notaries public from other countries will not be accepted unless the copy has been legalized. The officially certified copy must be submitted to the applicant services in paper form, unless otherwise instructed.

An officially certified copy must always be made directly from the original document. The stamps and signatures certifying the copy must always be original and all pages of the original document must be included. A copy of an attachment or an attachment sent by email is not acceptable.

If the copy has several pages, each page must bear the stamps and signatures certifying the authenticity, unless the copy has been joined together in such a way that the individual pages cannot be separated from each other (e.g. with a seal). If the pages of the copy are separate or can be separated from each other, i.e. stapled together with a regular stapler, each page must bear the stamp and signature of the certifying party.

In order for a copy of a document issued by an educational institution to be officially certified, the copy must bear the official stamp of the educational institution. Official stamps of educational institutions usually contain the name and symbol of the educational institution. The copy must also contain the signature, name and job title of a representative of the educational institution. A stamp that simply says "certified copy" or "certified copy" is not an official stamp of the educational institution. Please note that the educational institution cannot officially certify a diploma that has been issued by another organization (e.g. the Finnish Matriculation Examination Board or the IB organization) or another educational institution.

If your copy does not meet the requirements mentioned above, please contact the party that certified the copy and request a new copy that meets the requirements.

Official translation

You can get an official translation of any document from an official translator. In Finland, official translators are persons who have the right to act as authorized translators according to Act 1231/2007. You can check who are official translators in Finland from the . If you are not in Finland, you can also obtain an official translation from an official translator in your country of residence.

You can also obtain an official translation of a diploma or other document issued by an educational institution from the educational institution that issued the document.

A translation is only official if the following conditions are met:

  1. The translation bears the official stamp of the official translator/educational institution (Official stamps of educational institutions usually bear the name and symbol of the educational institution).
  2. The translation bears the signature, name clarification and job title of the official translator/educational institution representative.

Translations other than those obtained from an official translator or the educational institution that prepared the document are not official translations.

If the translation is from an official translator, all pages of the translation must bear the translator's stamp or signature, or both. If the translation is from an educational institution that issued the certificate, all pages of the translation must bear the educational institution's stamp or signature, or both. Plain copies are not accepted.

Nimenmuuttumisen osoittaminen

Jos todistuksessasi on entinen nimesi eikä todistuksessa ole suomalaista henkilötunnusta tai myös henkilötunnuksesi on muuttunut, nimenmuutos tulee osoittaa jollain seuraavista:

  • ote väestötietojärjestelmästä (virkatodistus), josta käy ilmi entinen nimesi ja nykyinen nimesi
  • aluehallintoviraston (tai lääninhallituksen) päätös nimesi muuttamisesta
  • vastaava ulkomaisen viranomaisen asiakirja.

Otteen väestötietojärjestelmästä saat digi- ja väestötietovirastosta (maistraatista).
