Instructions for using the University’s recruitment system

If you have not applied for a job at the University of Helsinki before by using the new recruitment system, please start by registering an account in the system.

New users can register here:

You can also access the above web address by clicking on Apply for the position in a job ad published at https://www2.helsinki.fi/en/open-positions.

When you register, we will ask you to provide your email address, name and country/region of residence and to set a password. Before creating a user account, you must read and accept the data protection statement.

We recommend that you provide an email address other than one ending in @helsinki.fi.

The system will direct you to your applicant profile. You will also receive a message confirming your registration to the email address you provided.

System functions:

Profile: Here you can submit an application for an open position and explore your applicant profile and application history. You can also change the system language and reset your password in the settings. When applying for an open position, remember to attach all required documents to your application. Please note that the attachments are always connected to a specific application and that a curriculum vitae is always required. If applying for several positions in our system, the attachments you added most recently will appear in your profile as attachments connected to your previous applications, too. However, such attachments are not actually connected to your previous applications.

My documents: Here you can see your most recently saved curriculum vitae (CV).

Profile information: Here you can see the name and email address you saved during registration. You can also add your phone number and country of residence here and edit these profile details if necessary.

Search options and privacy: Here you can read the University of Helsinki’s privacy statement. If you reject it by selecting Revoke, your account will be permanently deleted.

Jobs applied: Here you can see all positions for which you have applied. If necessary, you can edit an application you have submitted if it has not yet progressed to the assessment stage. You can also cancel an application. Please note that if you cancel an application, you can restore it once and then apply again for the same open position using the same profile.

Saved applications: Here you can continue to complete applications saved as drafts.

View all jobs: Here you can find the University of Helsinki’s open positions. Select the position you are interested in and apply.

View by category: Here you can browse the University of Helsinki’s open positions based on various categories.

Careers: This will take you to the University of Helsinki’s career website.

If you are currently employed by the University, please see the section I am a University employee applying for a new position.

If you forget your password, you can request a link to reset it by clicking on Forgot your password?. If an account in the system corresponds to the information you enter, you will receive instructions by email to reset your password.

If you are currently employed by the University of Helsinki, you can apply for open positions here:

Select Employee login Log in with your University username (‘AD account’) and password.

You can also find a direct link to the system in the Tools section on Flamma: Recruitment system.

If you apply for an open position through a job ad on the University website, the system will recognise you as a University employee based on your @helsinki.fi email address, and you will receive an error message concerning your username. If you do not wish to apply for a position as a current employee, you must register a new username using an email address other than your @helsinki.fi address. Further information on registration can be found under I am a new job applicant.

the University. This may result in an error message indicating that your @helsinki.fi email address is already in use.

If you work for the University, please see the section I am a University employee applying for a new position.

If you do not currently work for the University, you should register a new username with another email address (see I am a new job applicant).

Occasionally, a short-lived fault in the system may lead, for example, to a confirmation message not getting sent.

Please first double-check that you have submitted the application.

In your applicant profile, you can view your applications on the Jobs applied tab and your incomplete applications on the Saved applications tab. If you cannot find the application you are looking for on either of these tabs, please search for the position in the View all jobs menu and submit an application.

You can select the language of the system when logging in by opening the language menu. The system can be used in Finnish, Swedish and English.

Please check your browser’s language settings if you cannot access the recruitment system in the language of your choice.

The recruitment system automatically saves all information you enter, but please remember to click on Save at the bottom of the page if you leave the page in question or do not wish to submit your application yet.

Yes.

You can save your application at any time before submitting it. Incomplete applications that you have saved can be found on the Saved applications tab.

You can also cancel an application. You can find the positions for which you have applied on the Jobs applied tab.

Please note that if you cancel an application, you can restore it once and then apply again for the same open position using the same profile.

You can access your applicant profile to edit and supplement your application information and attachments if the application process has not yet progressed to the assessment stage.

If you are interested in the University as an employer, but no suitable position is currently available, we recommend you contact the unit that interests you and ask about job opportunities.

You can check the attachments connected to your application in the system by accessing your profile and clicking on Jobs applied -> My documents.

Application processes ends on the date indicated in the job ad at 23.59 local Helsinki time (EEST).

We recommend that you use Mozilla Firefox or Google Chrome as your browser. Cookies and pop-ups must be enabled in your browser settings.

Application attachments must be in PDF or DOCX format. The maximum size of each attachment is 5 MB.

Users from embargoed countries

  • Users are not permitted to use SAP SuccessFactors services from embargoed countries. Therefore, a user that travels to an embargoed country is prohibited from using our services while in that embargoed country. Users can access SAP SuccessFactor services after returning to a non-embargoed country.

Note: When users are blocked it starts a clock of 24hrs, the user should only retry to login after those 24hrs and when outside the embargoed country.
