Welcome to organise an event at Think Corner

Please read these instructions carefully. We have compiled important information on this page to help you organise your event. If you organise an event at Stage, please read through the instructions for organising an event at Stage.

Think Corner is an open space where science and the public meet. Events organised at Think Corner are open to the public.

You can organise an event in the event spaces located in Think Corner’s first floor in predetermined two-hour slots, from Monday to Friday at 9.00–11.00, 13.00–15.00 and 17.00–19.00. Think Lounge, located in Think Corner’s 2nd floor, can be booked for events from Monday to Saturday during Think Corner customer service hours on weekdays between 9.00 and 19.30 and on Saturdays between 13.00 and 17.30 in three-hour slots.

Please let Think Corner staff know if the event is cancelled.

  • Make sure that you arrive on site early enough for the event to start on time. Instruct performers and speakers to arrive well ahead of time.
  • As Think Corner is an open space, do not leave your belongings unattended.

Furnishing the event spaces

  • Think Corner’s default furniture setup is table groups. If needed, seating capacity can be added by adding seat rows. The furniture cannot be removed from the space as there is no storage for it at Think Corner.
  • One hour is automatically reserved before and after the event for the preparations and dismantling, unless otherwise specified during the time of reservation.
  • While setting up your event at Think Corner, please be considerate of other events and other Think Corner visitors.

AV equipment

  • Think Corner staff handles all AV technology during the event. It is possible to make a single-camera, unedited video recording and live stream of events organised at Stage. Please consider that some events are not suitable for video recording. Streamed events are automatically recorded unless otherwise agreed.   • At Fönster and Think Lounge, Think Corner staff is happy to help with AV equipment. Remember to bring a laptop for your presentations.
  • Think Corner facilities have an open Wi-Fi network. The name of the network and the password are available on site.
  • Tell the audience who the organiser of the event is (at the beginning of the event and in the presentation materials).
  • Playing music: If recorded background music (from a radio or television broadcast, a record, computer or streaming service) or live music is to be played at the event, make sure that the necessary permission has been acquired. Permission for performing music must be applied from Teosto customer service, tapahtumat@teosto.fi. For further information, visit Teosto website.
  • Screening a film: Permission is always required for a public screening of a film. For further information, visit apfi.fi.
  • Images in presentations: When using images in your presentations, remember to ensure that you hold full rights to them. Using an image from the Internet with a link to its original location does not give you the right to use the image.
  • The safest choice is to use photos taken by yourself or someone you know who has given you permission to use them. Members of the University of Helsinki community can use images from the Uni Material Bank.
  • You can also use images under the CC0 license. Such images can be found in image banks such as Pexels or Pixabay.
  • If organising an event at Stage, please read the instructions for presentations.
  • Fazer Food & Co operates Tiedekulma Café. Tiedekulma Café is an open drop-in spot for everyone and is the catering provider for Think Corner events and meetings. Outside catering is prohibited. Tiedekulma Café is licensed to sell alcohol.
  • Find out more about Tiedekulma Café services or order event catering in advance via tiedekulma@fazerfoodco.fi.
  • Catering orders must be confirmed at least 7 days before the event. Events of over 100 people must be confirmed at least two weeks before the event.
  • Check Tiedekulma Café opening hours here.
  • Ensure that the space is in the same condition after your event as it was before use.
  • Think Corner is not responsible for any objects left in the facility.
  • The facility rent includes a basic cleaning service. If special cleaning is needed in addition the fee will be charged from the event organiser.
  • Think Corner staff will assign the appropriate waste bins for trash and recyclables if needed.
  • Think Corner advertises events organised in its facilities through its own communication channels. Remember to clearly state the name of the event organiser in the presentation materials.
  • If you create a Facebook event for your event, a link to it can be added to the Think Corner Facebook events, but Think Corner cannot be the administrator of the event. Inform Pauliina Arvela (firstname.surname@helsinki.fi). of your Facebook event.

The University of Helsinki event calendar

  • We would like all events held in Think Corner to be advertised in the online calendar of the University of Helsinki, if this is appropriate for the event. Enter the details of the event through this link. To have your event show up on Think Corner’s website, choose the event category Think Corner. We recommend that you list some key words at the end of the field “More information” so that the event is easier to find with the calendar’s search function.  
  • Provide the details of your event as early as possible. The longer the event is visible, the more likely it is to reach its potential audience.
  • You can also announce the event’s information in Finnish, English and/or Swedish. Remember to inform the language of the event.

Promoting the event on the Think Corner info screen on the day of the event

  • On the day of the event, the name of the event will appear on Think Corner info screen.
  • By separate agreement, major events can be promoted on the Think Corner info screen using the graphic design of the event.
