The system has a timeout that interrupts the session after 30 minutes, if you do not move from one tab to another. It is recommended that you write longer texts, such as an the research plan or the cover letter, first as a word document and then copy-paste it into the proper field in the electronic application. For paste operation, use key combination ctrl + v (PC) or ⌘ + v (Mac).
If you are applying for more than one position at a time, note that only sections 7-9 are job specific. This means that once you have filled in the information for sections 1-6, that same information is used also for your other applications. It's also recommended that you edit only one application at a time.
1 Personal Data
Fill in your personal data and contact information.
Start adding your education and training information by using the Add button.
Fill in the details of your previous qualifications and mark the highest degree completed. Each degree, or other course/training, must be added individually by clicking the Add button. Fill in the starting and end dates for each degree.
Note! If you have a right to study for a PhD degree at the University of Helsinki, fill in the details on your study right here. In the field for “Educational Institution”, write in UH plus the Faculty and the Doctoral Program for your studies (e.g. UH / Medicine / DP in Brain and Mind). For end date, give an estimated date for the completion of the degree.
If you have completed or are pursuing a Specialist Degree in Medicine, fill in also that information. For end date, give either an actual or estimated date of completion.
When you are done, click the Next Step button at the top of the page.
3 Work Experience
Start adding the details for your work experience by using the Add button.
Fill in work experience that you think is relevant for the doctoral candidate position, especially any jobs or internships where you have gained experience on research work, or international experience. If an employment has slowed down your Master's degree, it is worthwhile pointing out these jobs as well.
The system asks for basic job information such as employer, start date and end date, and job title. You can also add a description of your tasks in the text field. Not all fields need to be filled in.
Each work experience must be added individually through the Add function.
Start adding your qualifications by using the Add button. The qualifications are divided into several tabs. Fill out only the tabs for a) Experience and b) Language skills.
This can be left empty.
Attach the required documents in pdf format. If you do not yet have a right to study for a doctoral degree at the University of Helsinki, include copies of the following documents:
- degree certificate (Master's Degree or equivalent)
- transcript of records (Master's Degree or equivalent)
- verification of language skills,
These documents make it easier for us to process your application. If you do not yet have a degree certificate or a verification of your language skills, please include that information at the end of the Cover Letter (e.g. UH applicants who are completing their Licenciate of Medicine Degree). For more information on the above attachments, see the application instructions for the right to study for a doctoral degree.
In addition, make sure to check out the programme-specific instructions for potential additional attachments!
Start adding attachments using the Add button. Attachments should be submitted in pdf format without security, encryption or other special features. The maximum file-size for an individual attachment is 20 MB.
Complete all the information. The required fields are marked by asterisk (*). If the field is marked as compulsory but you do not have a response yet, you can enter Not Available. However, always check with your doctoral program for more detailed instructions!

Note. In tab 3. Supervisors, information for a potential third supervisor should be filled in Other References. (Mark "Third Supervisor:" and the same information as for your primary and second supervisors).
8 Cover Letter
The cover letter is an important part of the application! There you should tell more about your motivation for the salaried doctoral candidate position as well as for pursuing a doctoral degree.
9 Complete the application
Here you can see what your application looks like. When the application is complete, remember to click the button Send Application Now.
