Instructions for conditionally accepted applicants

These instructions apply to you if you applied to programmes that start in the autumn of 2020.

Please read carefully through the following instructions and act according to the instructions, which apply to you. Deliver the required documents to the Admission Services at the University of Helsinki before the set deadline. Failing to meet the set deadline will cause you to lose the offered study place.

Con­di­tion: you had not gradu­ated by the end of the ap­plic­a­tion period

You have graduated and received a degree after the end of the application period, thus you must provide a proof of your eligibility to apply to the University. Your study right is conditional until your eligibility has been verified.

If your eli­gib­il­ity is based on a de­gree taken out­side Fin­land:

If your educational documents have not been issued in English, Finnish or Swedish, you must also submit official translations into one of these languages in addition to the officially certified copies of the documents in the original language. Please also note that there are some country-specific requirements concerning the delivery of educational documents to the Admission Services.

If there is a considerable delay in receiving the final degree certificate due to a technical or administrative procedure at the awarding institution, you can provide a temporary degree certificate or another official document, for example your last transcript of records or an official letter addressed to the University of Helsinki. The substituting document must contain the information required from a degree certificate.

The degree certificate or the document that substitutes for the degree certificate must carry the official stamp of the awarding institution and the signature, print name, and status of the University office, as well as the following information:

  • the name of the degree awarding institution
  • the date when the degree was awarded
  • the name of the student
  • the awarded title

Failing to meet the set deadline causes you to lose the offered study place.

If your eli­gib­il­ity is based on a Finnish de­gree:

  • You must graduate by 31 August 2020.

The Admission Services will verify the completion of your degree through a national database at the end of August. To further the process before that, please fill in this e-form after you have graduated. In the event that your degree cannot be found in the electronic database, the Admission Services will contact you to the email address used in your application for further instructions.

Failing to meet the set deadline causes you to lose the offered study place.

Please note, that this condition applies only to those admitted through studies completed at the Open University.  Please see the instructions either in the Finnish or Swedish language version of this page.

Con­di­tion A: you had not gradu­ated by the end of the ap­plic­a­tion period (Admission group 1)

These instructions apply to you if you applied to the Bachelor’s Programme in Science in admission group 1, and your admission decision is conditional for one of the following reasons:

  • Conditional: submit an officially certified copy of your final diploma by the due date.
  • Conditional: submit an officially certified copy of your final diploma and pay the tuition fee by the due date.
  • Conditional: submit officially certified copies of your final diploma and a certificate demonstrating required language skills by the due date.
  • Conditional: submit officially certified copies of your final diploma and a certificate demonstrating required language skills and pay the tuition fee by the due date.

If your eli­gib­il­ity is based on a de­gree taken out­side Fin­land:

  • You must graduate by 31 August 2020.
  • You must deliver an officially certified copy of your final diploma to the Admission Services by 31 August 2020 at 15.00 (UTC+3).

If there is a considerable delay in receiving the final diploma due to a technical or administrative procedure at the awarding institution, you can provide a temporary diploma by the given deadline.

Both the final and the temporary diploma must state that you have graduated. They must also include the name of the awarding institution, the date when the diploma was awarded, the name of the student, as well as the official stamp of the awarding institution, the signature, print name, and status of the signing officer.

If your acceptance is conditional also based on unofficial copy of the certificate demonstrating required language skills, and it is not the same  final diploma that demonstrates your eligibility to the Bachelor’s Programme in Science, you must deliver a separate officially certified certificate demonstrating required language skills by 31 August 2020 at 15.00 (UTC+3).

If your educational documents have not been issued in English, Finnish or Swedish, you must also deliver official translations into one of these languages in addition to the officially certified copies of the documents in the original language.

Please remember that there are some country-specific requirements concerning the delivery of educational documents to the Admission Services. See also further instructions for submitting official enclosures electronically.

If you have been admitted by 8 July 2020, you must deliver the abovementioned documents to the University of Helsinki’s Admission Services by 31 August 2020 at 15.00 (UTC+3). If you are admitted from the reserve list after 8 July 2020, the deadline for accepting the study place and delivering the attachments will be notified separately.

Failing to meet the set deadline causes you to lose the offered study place.

 

If your eli­gib­il­ity is based on a Finnish de­gree:

  • You must graduate by 31 August 2020.
  • Your graduation must be registered at the electronic database by 31 August 2020 at 15.00 (UTC+3) OR
  • You must deliver an officially certified copy of your diploma by 31 August 2020 at 15.00 (UTC+3).

If your acceptance is conditional also based on unofficial copy of the certificate demonstrating required language skills, and it is not the same  final diploma that demonstrates your eligibility to the Bachelor’s Programme in Science, you must deliver an officially certified certificate demonstrating required language skills by 31 August 2020 at 15.00 (UTC+3).

If you have been admitted by 8 July 2020, you must deliver the abovementioned documents to the University of Helsinki’s Admission Services by 31 August 2020 at 15.00 (UTC+3). If you are admitted from the reserve list after 8 July 2020, the deadline for accepting the study place and delivering the attachments will be notified separately.

Failing to meet the set deadline causes you to lose the offered study place. The Admission services of the University of Helsinki is not responsible for any delays in registrations caused by educational institutions.

 

Con­di­tion B: You had not gradu­ated by the end of the ap­plic­a­tion period (Admission group 2)

These instructions apply to you if you applied to the Bachelor’s Programme in Science in admission group 2, and your admission decision is conditional for the following reason:

  • Conditional: submit an officially certified copy of your diploma and the grades by the due date.
  • Conditional: submit an officially certified copy of your diploma and the grades and pay the tuition fee by the due date.
  • Conditional: submit officially certified copies of your diploma, the grades and a certificate demonstrating required language skills by the due date.
  • Conditional: submit officially certified copies of your diploma, the grades and a certificate demonstrating required language skills and pay the tuition fee by the due date.

Further instructions concerning different degrees/diplomas:

International Baccalaureate (IB): you must deliver your final grades (Diploma Programme (DP) Results) to the University. The copy must have the official stamp of the school and be signed by the IB coordinator. Instead of this, you can also order a Transcript of Grades from IBO and ask them to send it to the Admission Services of the University of Helsinki. Please note, that it may take a while for the university to receive the transcript, as there might be some delay at IBO's service.

Please remember that there are some country-specific requirements concerning the delivery of educational documents to the Admission Services.

European Baccalaureate (EB): you must deliver an officially certified copy of the diploma with the final grades. 

Reifeprüfung (RP) and Deutche Internationale Abiturprüfung (DIA) completed in Finland: you must deliver an officially certified copy of the four-page German-language diploma Zeugnis der allgemeinen Hochschulreife and the Finnish-language certificate of equivalence. The Finnish-language certificate of equivalence is not sufficient without the diploma.

Finnish matriculation examination: you do not have to deliver a copy of your diploma, as your eligibility will be verified from an electronic database.

If your acceptance is conditional also based on unofficial copy of the certificate demonstrating required language skills, and it is not the same  final diploma that demonstrates your eligibility to the Bachelor’s Programme in Science, you must deliver an officially certified certificate demonstrating required language skills by 31 August 2020 at 15.00 (UTC+3).

If you have been admitted by 8 July 2020, you must deliver the abovementioned documents to the University of Helsinki’s Admission Services by 31 August 2020 at 15.00 (UTC+3). If you are admitted from the reserve list after 8 July 2020, the deadline for accepting the study place and delivering the attachments will be notified separately.

If you fail to deliver the required diplomas and certificates by the deadline, you will lose the study place. If you were admitted based on predicted grades and your final grades are lower than the predicted ones, your total score will be recounted and the admission decision may also be revoked.

 

Con­di­tion C: You did­n’t sub­mit the of­fi­cially cer­ti­fied cop­ies

These instructions apply to you if you applied to the Bachelor’s Programme in Science, and your admission decision is conditional for one of the following reasons:

  • Condition: submit an officially certified copy of your diploma by the due date.
  • Condition: submit an officially certified copy of your diploma and pay the tuition fee by the due date.
  • Condition: submit an officially certified copy of the certificate demonstrating required language skills by the due date.
  • Condition: submit an officially certified copy of the certificate demonstrating required language skills and pay the tuition fee by the due date.
  • Condition: submit officially certified copies of your diploma and a certificate demonstrating required language skills by the due date.
  • Condition: submit officially certified copies of your diploma and a certificate demonstrating required language skills and pay the tuition fee by the due date.

Because you demonstrated your eligibility to higher education and/or required language proficiency at the application stage by submitting unofficial photocopies or scans of your enclosures, you must deliver officially certified copies of your enclosures and, if necessary, their official translations to the Admission Services by 31 August 2020 at 15.00 (UTC+3).

Please remember that there are some country-specific requirements concerning the delivery of educational documents to the Admission Services. See also further instructions for submitting official enclosures electronically.

If you have completed an International Baccalaureate degree, instead of officially certifying your diploma in the regular way, you can also order a Transcript of Grades from IBO and ask them to send it to the Admission Services of the University of Helsinki. Please note, that it may take a while for the university to receive the transcript, as there might be some delay at IBO's service.

If you have been admitted on 8 July 2020 by the latest, you must submit the above-mentioned documents to the Admission Services of University of Helsinki no later than 31 August 2020 at 15.00 (UTC+3). If you are admitted from the reserve list after 8 July 2020, the deadline for accepting the study place and submitting the documents will be informed to you separately.

Failing to meet the set deadline causes you to lose the offered study place.

These instructions apply to you if you applied to a Master’s Programme taught in English or to the Bachelor’s Programme in Science, and your admission decision is conditional because you must pay the tuition fee by the deadline.

As you are a citizen of non-EU/EEA country and do not have a permanent residence status in Finland, you are liable to pay the tuition fees. Please note that your acceptance is conditional until you have paid your tuition fee for the academic year 2020-2021. If you receive the financing for your tuition fees from a third party, and if the payment takes place later than the due date of the invoice, please contact Admission Services: admissions@helsinki.fi.

Of­fi­cially cer­ti­fied (at­tested) cop­ies

All photocopies of educational documents must be officially certified (attested). This means that the documents usually have to be in paper form. Electronic documents are accepted only when so instructed. Please follow the instructions on electronic transcript services:

Of­fi­cial trans­la­tions

All educational documents must be in Finnish, Swedish or English. If the original documents are not in one of these three languages, you also have to provide the official translations into one the languages. The official translations must fulfil one of the following conditions:

  • it is issued by the awarding institution
  • it is an officially certified copy of a translation issued by the awarding institution
  • it is translated by an official translator
  • it is an officially certified copy of a translation made by an official translator

Provid­ing doc­u­ments on a name change

If the degree certificate has your prior name but not your Finnish personal identity number, you have to provide one of the following documents:

  • a life certificate from Finnish Digital and Population Data Services Agency (= elossaolotodistus (ent. virkatodistus in Finnish) providing proof of your previous and present name
  • a corresponding document from a foreign country in Finnish, Swedish or English, and/or, if necessary, its translation into one of these three languages.

Life certificate from the Finnish Digital and Population Data Services Agency may be obtained from the customer service location of the Digital and population data services agency (= Digi- ja väestötietovirasto or it’s old name maistraatti in Finnish) or ordered online.

We ask you to send the documents by postal services/courier service or deliver them to the mailbox of the Admission Services.  Please note, that an envelope with a closing date postmark is not sufficient; the documents must be at the Admission Services by the set deadline.

Please state the name of the Study Programme you have been accepted to on the envelope.

The Admission Services are not able to return the documents to the applicants so please do not send us original documents of any kind.

It is also possible to come and show the original documents at the Admission Services in person. In this case, you must make a reservation for a personal appointment at the appropriate website. This service opens in July.

Please notice that this is a service only for those who are not able to send the required documents by mail or deliver them in person and therefore there are only a limited number of appointment slots available. Thus, the main way of delivering the documents are postal services and using the mailbox of the Admission Services.

When the Admission Services have processed your documents, you will be informed by an email concerning their validation. Please notice that this email is not an official confirmation for the registration of your study right at the University Registrar.

If the documents received from you do not fulfil the requirements or something is still missing, you will be sent a new message, and you have time to resend the required documents until the end of the set deadline. Please note, that there will be no additional time awarded for resending the documents and the deadline for delivering them will stay the same. Unfortunately, if we do not receive the required documents in due time we must inform you that the given study right was cancelled.
