Instructions for conditionally accepted applicants

These instructions apply to you if you applied to programmes that start in the autumn of 2019.

Please read carefully through the following instructions and act according to the instructions which apply to you. Deliver the required documents to the Admission Services at the University of Helsinki before the set deadline. Unfortunately, failing to meet the set deadline will cause you to lose the offered study place.

CONDITION A: YOU HAD NOT GRADUATED BY THE END OF THE APPLICATION PERIOD

You have graduated and received a degree after the end of the application period, thus you must provide a proof of your eligibility to apply to the University. Your study right is conditional until your eligibility has been verified.

If your eligibility is based on a degree taken outside Finland,

you must graduate and deliver an officially certified copy of the degree certificate to the Admission Services by the set deadline. 

If your educational documents have not been issued in English, Finnish or Swedish, you must also submit official translations into one of these languages in addition to the officially certified copies of the documents in the original language. In addition, remember that there are some country-specific requirements concerning the delivery of educational documents to the Admission Services.

If there is a considerable delay in receiving the actual degree certificate due to a technical or administrative procedure at the awarding institution, you can provide a temporary degree certificate by the given deadline. The temporary degree certificate must state that you have taken all the required studies/courses for the degree and graduated.

Both the final and the temporary degree certificate must include the name of the awarding institution, the date when the degree was awarded, the name of the student and the awarded title, as well as the official stamp of the awarding institution, the signature, print name, and status of the University officer.

Failing to meet the set deadline causes you to lose the offered study place.

If your eligibility is based on a Finnish degree

These instructions apply to you if you applied to a Master’s programme starting in the autumn of 2019.

  • You have to graduate by the set deadline. Admission Services will check your degree through an electronic database at the beginning of August. To further the process before that, please fill in the e-form after you have graduated. In case your degree cannot be found from the electronic database, the University of Helsinki Admission Services will contact you to the email address used in your application.

    Failing to meet the set deadline causes you to lose the offered study place.

These instructions apply to you if you applied to Bachelor’s Programme in Science starting in the autumn of 2019, if your eligibility is based on degree from a Finnish University or Finnish University of Applied Sciences:

  • You have to graduate by the set deadline.

Admission Services will check your degree through an electronic database after the deadline for graduating. Failing to meet the set deadline causes you to lose the offered study place.

These instructions apply to you if you applied to Bachelor’s Programme in Science starting in the autumn of 2019, if your eligibility is based on a vocational upper secondary qualification, a further vocational qualification or a specialist vocational qualification, as referred to in the Vocational Education and Training Act:

  • You must graduate by the set deadline.
  • You must submit a certified copy of the degree diploma conferring eligibility to apply for the studies and a certificate demonstrating required language skills by the due date.

If you must prove your eligibility and you have been admitted by 28 June 2019, you must submit the abovementioned documents to the University of Helsinki’s Admission Services by 15.00 on 12 July 2019. If you are admitted from the reserve list after 28 June 2019, the deadline for accepting the study place and submitting the attachments will be notified separately.

If you fail to submit the required diplomas and certificates by the deadline, you will lose the study place.

CONDITION B: COMPLETING THE STUDIES AT OPEN UNIVERSITY

Please note, thata this condition applies only to those admitted through studies completed at the Open University.  Please see the instructions either in the Finnish or Swedish language version of this page.

CONDITION C: YOU DIDN’T SUBMIT THE OFFICIALLY CERTIFIED COPIES

These instructions apply to you if you applied to the Bachelor’s Programme in Science, and your admission decision is conditional for one of the following reasons:

  • You must submit an officially certified copy of the final degree certificate / diploma demonstrating your eligibility to higher education by the given deadline.
  • You must submit an officially certified copy of the final degree certificate / diploma demonstrating your eligibility to higher education AND required language proficiency by the given deadline.
  • You must submit an officially certified copy of the document demonstrating your required language proficiency by the given deadline.

If you demonstrated your eligibility to higher education and/or required language proficiency at the application stage by submitting unofficial photocopies of your enclosures, you must also submit officially certified copies of your enclosures and, if necessary, their official translations to the Admission Services after you have been admitted. The information you gave on your application will be checked when you inform the university whether you accept the study place offered to you. In addition, remember that there are some country-specific requirements concerning the delivery of educational documents to the Admission Services.

If you have completed an International Baccalaureate degree, instead of officially certifying your diploma in the regular way, you can also order a Transcript of Grades from IBO and ask them to send it to the Admissions Services of the University of Helsinki. Please note, that it may take a while for the university to receive the transcript as there might be some delay at IBO's service.

If you must provide a proof of your eligibility and you have been admitted on 28 June 2019 by the latest, you must submit the above-mentioned documents to the Admission Services of University of Helsinki no later than 12 July at 15.00 local Helsinki time. If you are admitted from the reserve list after 28 June 2019, the deadline for accepting the study place and submitting the documents will be informed to you separately.

If you fail to submit the requested officially certified enclosures by the given deadline, the study right granted to you will be cancelled.

CONDITION D: YOU HAD NOT GRADU­ATED BY THE END OF THE AP­PLIC­A­TION PERIOD (Finnish matriculation examination, IB, EB, RP or DIA)

These instructions apply to you if you applied to the Bachelor’s Programme in Science, and your admission is based on a Finnish matriculation examination, an International Baccalaureate Examination, a European Baccalaureate at a European School, a Reifeprüfung examination completed in Finland, a Deutches Internationales Abitur examination completed in Finland.

  • You must submit a certified copy of the degree diploma conferring eligibility to apply for the studies, the grades received and a certificate demonstrating required language skills by the due date.

If you have completed the degree conferring your eligibility to apply for the studies in spring 2019 and you have proved your eligibility at the application stage by providing a preliminary estimate, you must, after you have been admitted, submit a certified copy of your final degree diploma and its possible translation to the University of Helsinki’s Admission Services, thus proving your eligibility. The information you have provided at the application stage will be checked when you accept the study place. In addition, remember that there are some country-specific requirements concerning the delivery of educational documents to the Admission Services.

Applicants who have completed a Finnish matriculation examination do not have to submit a copy of their diploma, since it will be checked electronically.

If you have completed an International Baccalaureate degree in spring 2019, you must submit your final grades (Diploma Programme (DP) Results) to the University. The copy must have the official stamp of the school and be signed by the IB coordinator. Instead of this, you can also order a Transcript of Grades from IBO and ask them to send it to the Admissions Services of the University of Helsinki. Please note, that it may take a while for the university to receive the transcript as there might be some delay at IBO's service.

Applicants who have completed a European Baccalaureate (EB) degree must submit a certified copy of the diploma with the final grades in addition to the final degree certificate. 

Applicants who have completed a Reifeprüfung (RP) degree must submit an officially certified copy of the four-page German-language degree certificate Zeugnis der allgemeinen Hochschulreife and a Finnish-language certificate of equivalence (if the degree has been completed in Finland). A Finnish-language certificate of equivalence is not sufficient without the degree certificate.

If you must prove your eligibility and you have been admitted by 28 June 2019, you must submit the abovementioned documents to the University of Helsinki’s Admission Services by 15.00 on 12 July 2019. If you are admitted from the reserve list after 28 June 2019, the deadline for accepting the study place and submitting the attachments will be notified separately.

If you fail to submit the required diplomas and certificates by the deadline, you will lose the study place. If the grade prediction has affected the admission decision and the final grades do not correspond to the prediction, your basic score will be recounted and the admission decision may also be revoked.

Officially certified (attested) copies

All photocopies of educational documents must be officially certified (attested).

OFFICIAL TRANSLATIONS

All the educational documents must be in Finnish, Swedish or English.  If the original documents are not in one of these three languages, you have to also provide the official translations into one the languages. The official translations must fulfil one of the following conditions:

  • it is issued by the awarding institution
  • it is an officially certified copy of a translation issued by the awarding institution
  • it is translated by an official translator
  • it is an officially certified copy of a translation made by an official translator

Providing documents on a name change

If the degree certificate has your prior name but not your Finnish personal identity number, you have to provide one of the following documents:

  • an extract from Finnish population register (= virkatodistus in Finnish) providing proof of your previous and present name
  • an official decision on the name change made by a Regional State Administrative Agency
  • a corresponding document from a foreign country in Finnish, Swedish or English, and/or, if necessary, its translation into one of these three languages.

Extracts from the Finnish population register may be obtained from the local registration offices (= maistraatti in Finnish).

We ask you to send the documents by postal services/courier service or deliver them to the mailbox of the Admission Services.  Please note, that an envelope with a closing date postmark is not sufficient; the documents must be at the Admission Services by the set deadline.

Please state the name of the Study Programme you have been accepted to on the envelope.

The Admission Services are not able to return the documents to the applicants so please do not send us original documents of any kind.

It is also possible to come and show the original documents at the Admission Services in person. In this case, you must make a reservation for a personal appointment at the appropriate website. This service opens in July. Further information on the service for showing your documents can be found here.

Please notice that this is a service only for those who are not able to send the required documents by mail or deliver them in person and therefore there are only a limited number of appointment slots available. Thus, the main way of delivering the documents are postal services and using the mailbox of the Admission Services.

When the Admission Services have processed your documents, you will be informed by an email concerning their validation. Please notice that this email is not an official confirmation for the registration of your study right at the University Registrar.

If the documents received from you do not fulfil the requirements or something is still missing, you will be sent a new message, and you have time to resend the required documents until the end of the set deadline. Please note, that there will be no additional time awarded for resending the documents and the deadline for submitting them will stay the same. Unfortunately, if we do not receive the required documents in due time we must inform you that the given study right was cancelled.

Please note that due to the large number of documents that the Admission Services receives, it may take a couple of days to process and validate the documents you have sent. Please do not try to contact us to inquire information about the status of your documents as we will contact you as soon as possible to inform you about the result.
