Electronic transcript services

These instructions apply to you if you are applying to one of University of Helsinki’s Bachelor’s programmes during winter 2019-2020 or in the spring of 2020. This page offers information on how to submit your educational documents through certain international transcript services. You can use this method instead of submitting officially certified copies of your educational documents or instead of the country-specific requirements.

Accepted electronic services

At the application stage we accept scanned copies of your educational documents as enclosures. However, we require officially certified copies of the educational documents from applicants who are conditionally accepted. Please note that there are some country-specific requirements. Instead of these paper documents, we also accept official educational documents submitted electronically through certain international transcript services.

When submitting your electronic educational documents through one of these services, please direct the document to the University of Helsinki using the email address application-enclosures@helsinki.fi as the contact address. Please refer to the services’ own instructions for more details on how to use each service.

List of accepted services:

If your institution uses a service not listed here, please contact us and we will investigate whether we can accept your documents through this service as well. Please note that the University of Helsinki reserves the right to make the final decision, case by case, on whether a service is accepted or not.

Electronically verifiable educational documents

If your educational document can be verified using an electronic verification service on the awarding institution’s website, you can submit a pdf copy of your document to the application form in Opintopolku.fi or to the email address application-enclosures@helsinki.fi.

Please name the documents in the format ”Last name, First name, name of the document.pdf” (ex: “Smith, Jane, transcript of records.pdf”). Please make separate files of each document, i.e. do not combine multiple documents into one file. If your document contains multiple pages, submit the entire document as a single file.

The entire document must be verifiable using the service, i.e. the service must show the exact same content as the document you submitted. If the service verifies only parts of the document, we do not accept the document as officially certified. Instead, submit an officially certified hard copy of the document.

Please note that the institution’s email address is not accepted as an electronic verification service. Additionally, regular scans of educational documents sent by the degree-awarding institution are not accepted if the document cannot be verified using an electronic verification service.

Please also note that we cannot guarantee that we will accept verification services in languages other than English, Finnish or Swedish. We will evaluate services in other languages case by case. In addition, if the electronic document verified by the service is not available in English, Finnish or Swedish, you must submit an official translation of the original document as well. Please note that the official translation must be submitted as an officially certified paper copy.

Kindly note that the University of Helsinki reserves the right to evaluate each electronic document and verification service case by case. If we cannot verify the required information with the electronic verification method provided by your institution, you are required to submit the document as an officially certified paper copy following the instructions above.

Enclosures that are not required as officially certified copies

Some enclosures do not have to be submitted as officially certified copies. These are:

You may submit these enclosures as pdf files to the application form in Opintopolku.fi.

Please name the documents in the format ”Last name, First name, name of the document.pdf” (ex: “Smith, Jane, diploma supplement.pdf”). Please make separate files of each document, do not combine multiple documents into one file. If your document contains multiple pages, submit the entire document as a single file.
