NOTICE:The practical Conference arrangements are a work in progress. Some of the arrangements as well as the information on this page are likely to change before the Conference. We will keep the page up to date, and exhibitors are requested to check this page for updates and changes prior to attending the Conference.

Whom to Contact First?
Publishers wishing to participate in the Conference as Exhibitors are requested to contact either ESIL or ASIL prior to contacting the local Conference organisers in Helsinki. They will provide the publishers with details regarding the Conference fees and registration instructions. This will help us co-ordinate our communications with the potential exhibitors, and keeps the main organisers up to date about the Conference participants.
Registration
Exhibitors are kindly asked to fill in the registration form and choose the participation status “Exhibitor”.
Exhibitors are also very welcome to attend to all additional conference program mentioned in the registration form, as well as the Gala Dinner on Saturday, October 3rd. Unfortunately, the conference organizers are not able to cover the costs for the additional program (Helsinki Sightseeing Tour or Porvoo excursion) for the exhibitors. The prices of these activities are shown on the registration form.
Exhibitors interested in attending to the Gala Dinner should choose the alternative “Gala Dinner for accompanying partner, 60 euros” in the registration form. A confirmation of receipt of the registration will be sent to the e-mail address given in the registration form. Deadline for the registrations is September 15th.
The Location
The Conference will take place in the University of Helsinki Main Building. The exhibition space will be arranged just outside the main Assembly Hall, in close proximity of the catering and coffee area and the main entrance. Each exhibitor is assigned their own exhibition table, either single or double, as agreed with ESIL and/or ASIL. Each exhibitor will be provided with a minimum of 80 x 140 cm table. Depending on the number of exhibitors in the exhibition area, we may be able to arrange larger exhibition tables.
Exhibitors are welcome to use roll-ups or other standing advertisements. Due to the historical nature of the Main Building, no posters are allowed to be attached to the wall surfaces. A limited number of standing poster screens may be provided for the use of the exhibitors. The exhibitors are advised to request for such screens in advance before the Conference.
Wireless LAN will be available at the exhibition area.

IMPORTANT! Each box shipped by the exhibitors should clearly indicate that it is designated for the Conference. Therefore, please make sure to mark each box on the outside with a label or marker indicating either the Conference title "CHANGING FUTURES?" or the organisers "ESIL-ASIL".
If possible, the shipments should be scheduled to arrive between Thursday September 24th and Thursday October 1st. The Main Building janitors will receive the shipments and store them until the Conference.
Setting Up and Dismantling the Exhibitions
The exhibitors are welcome to set-up their exhibitions already on the evening of Thursday October 1st at 19:00 - 22:00. Members of the Conference staff as well as the University janitors will help with the organisation of the exhibition space. Alternatively, exhibitions may be set up during the morning registration on Friday 2nd October starting at 08:30.
The exhibitions need not be dismantled for the night during the Conference. Members of the Conference staff will be available to oversee the exhibition area in the few Main Building opening hours during which there is no Conference activity in the area.
After the Conference, return shipments of the exhibition materials should be scheduled no later than Friday, October 9th.
Brochures for the Delegates' Packages
Exhibitors looking to include their brochures or advertisements into the Conference delegates' packages should post three hundred (300) copies of the brochure by September 20th to the Conference Secretary in the following address:

Thus, exhibitors are requested to post the brochures and advertisements separate from the exhibition material boxes.
Payments
Conference fee amounts should be agreed on with ESIL or ASIL by each exhibitor. Exhibitors are kindly asked to pay their conference fees at the latest on September 15th.
The conference fees can be paid by credit card or by bank transfer.

Credit card payments
When paying online, you will need your credit card number, card verification code (last three digits on the reverse side of the card) and the date of expiry. Your credit card details will not be revealed to the University of Helsinki.
Please write the conference fee sum agreed with the respective organization (ESIL, ASIL or the University of Helsinki) in the Exhibitors' fee field on the payment form.
